Club Managers

As the Team Manager, you play an important role on any hockey team. You are the coordinator, communicator, organizer, and all-around support for the team. The most important role is being the liaison between the coaches and the parents, and communication is key among all parties. The Team Manager also helps the coaches with the administrative functions of off-ice activities, tournaments, team finances, and other team needs. This allows the coaches to focus on preparing and running practices and games.

Taking on this role is a big job, so we hope that by providing you this handbook it will get you on the right track.

REQUIREMENTS FOR COACHES AND MANAGERS

  1. USA Hockey Registration: USA Hockey requires all team managers to register with USA Hockey. You must collect all coaches’ USA Hockey numbers or IMR, to be submitted for the team roster.
  2. Background Checks: These checks are required each year per USA Hockey. Please note, any screenings done after April 1st, 2020, are now good for two years. All coaches and managers will need to have this done and submitted to get your team roster certified.
  3. SafeSport Training: This training program is offered by USA Hockey to prevent abuse. The 90-minute course must be completed by all Coaches, Managers, and players age 18 or older via their USA Hockey portal. Annual refresher training is also required. Note: you must have a USA Hockey registration number prior to completing SafeSport training.

Beginning of Season Checklist

Once your team is selected you should...

Meet with Head Coach: Meet with the head coach to discuss expectations, possible tournament options, budget, and agenda for first team meeting.

Schedule a Team Meeting: Work with your coach to pick a time and place after a practice to introduce the coach, yourself, the players, and parents. Let the coach discuss expectations and any important details he wants to cover. 

Set up a Team Bank Account: As a team manager, you are required to have a dedicated bank account in your name, separate from other personal accounts. Your existing bank will likely offer a free checking account for this purpose. Ask about a minimum balance at the bank to keep the account open. Make certain you get checks and a debit card for the account to pay for team expenses.

GATHERING TEAM INFORMATION

As soon as the team is finalized, you need to get started gathering information from your team's families.

Contact Information: Collect names, phone numbers and email addresses from each of your parents. This isn't only for yourself, but to share with other parents on the team who may need help getting rides to practices or games. Google Forms and shared Google Sheets/Docs are a great way to collect & share this information.

Collect Document(s): Birth Certificates must be collected for each player. Your team meeting is the perfect time to do this. A good way to collect and store documents is to create a Google Drive account. You can send a copy of the birth certificates to the Missouri Hockey Registrar to have player information marked as verified on the official roster.

Collect Coach Information: From each coach, collect their CEP#, their certification level and their USA Hockey number. Please email all information for all coaches and team managers to Sean Hazelton to create your team's official roster. 

Collect Initial Fees: At the start of the season, you should collect a minimum of $100 from each player to start your team account. For more information on the expenses that your team will have to cover, visit the Team Finances page of the manager information page.

Build a Game Day Binder/Bag: The documents you collect must be brought to each game; it is recommended that you set up a binder for your team. Check out the Game Management page for more information.
